Artists’ Open House Organisers – Job Description
Leading the organisation of the Artists’ Open House event from start to finish usually over a period of around six months with some meetings and correspondance and research required outside this.
Working closely with and reporting to the Director of the Dulwich Festival.
Liaising with Dulwich Festival Team including but not limited to the Festival Director, Designer, Press officer, Treasurer and Trustees to ensure good communication and to establish a working schedule including putting together a budget to ensure financial viability of the event.
Setting up the registration system and editing/updating the accompanying guidelines for the Artists’ Open House event.
Sending out registration details to artists past and present as well as researching new artists.
Researching and liaising with potential sponsors for the event. eg negotiating provision of signposts for the event.
Maintaining and establishing links with local organisations; charities, schools, art groups, galleries, local businesses, community hubs, shops, restaurants etc…
Researching potential venues for artists to show their work making appropriate introductions and facilitating the exibition of artists work in external venues in particular where local artists wish to take part but are unable to show from their own home/studio.
Processing artists submissions ie images and text/information, uploading to the Dulwich Festival website and organising text and images into a working order ready for the design of the Artists’ Open House booklet. Ensuring that information is correct and if necessary edited.
Liasing with the Dulwich Festival Director and Press Officer in the writing of press releases and information about participating artists and helping to select and put together key information for press packs.
Working closely with the Designer and Printer to ensure that print deadlines are met and that the Artists’ Open House booklet is printed and delivered on time and ready to be distributed in advance of the event.
Planning and overseeing the distribution / distributing the Artists’ Open House booklet to participating artists and local venues. To date the print run has been 20K.
Planning and executing social media campaigns in the run up to and over the course of the Artists’ Open House weekends.
Maintaining communication and ensuring good relationships with participating artists and dealing with messages / queries etc..
Organising at least 2 networking/ social events once the Artists have registered including a launch event for the Artists once the booklet has arrived – this also acts as a booklet pick up for the Artists.
Ensuring Artists and venues have all the information needed for their Open House weekends as well as Festival information and logos etc.. for their own publicity mail outs thus ensuring visibility and continuity of the Dulwich Festival brand.
Visitings as many artists as possible over the Open House weekends while being contactable for any last minute trouble shooting.
After the event – gathering feedback and ensuring that budget is finalised and correct and all payments have been received. Also generally maintaining the good name of the Dulwich Festival and good relations with artists including passing on information about local artistic opportunities.
